Reporting to the Managing Director – Commercial. This role will provide full administrative support to the Managing Director with regards to diary management, customer engagement, booking travel, organising meetings, reports and schedules, as well as keeping on top of all administration coming through this busy office.
Additionally it will support the extended commercial team, where necessary, as well as having primary responsibility for the operational efficiency of the office environment.
This role will seamlessly connect to the manufacturing facilities in Ireland and become recognised as the ‘go to’ person connected to all aspects of the commercial team.
Key Responsibilities
- Managing the appointment, calendar & providing general secretarial support.
- Producing management reports, meeting agendas, and presentations
- Provide and co-ordinate travel support for ‘Commercial’ team.
- Co-ordinate customer events including industry activity, mill trips and entertainment.
- Maintaining PPE, holiday and absence details for the Commercial team & providing reports as required.
- Responsibilities extend to general office administration, post room, cleaning, catering, compliance, office lease and Health & Safety aspects.
- Co-ordinate facility management services and maintenance of the UK office.
- Organise office equipment, supplies and consumables.
- Support HR requirements for the Commercial Team to include facilitating recruitment, training etc.
- On-site IT co-coordinator
- Provision of Administrative and/or project support to wider commercial functions as required.
Typical Qualifications, Knowledge and Experience
- Educated to A-level or higher.
- Demonstrable experience supporting a senior team.
- Outstanding organisational skills with the ability to drive multiple tasks simultaneously.
- Ability to maintain confidentiality.
- IT literate and proficient with Microsoft Office.
- Excellent interpersonal, written and verbal skills.
- Robust numerical skills.
- Knowledge of CRM systems.
- Experience of managing budgets.
- Experience of event management.
- Knowledge of managing or supporting an office environment.
- Demonstrable project management skills.
